RESPONSIBILITIES and DUTIES:
Including but not limited to the list below.
Supervise the front office, support the administrative staff, answer phone calls, field client questions, speak with vendors, maintain calendars, take, and distribute messages.
Support most aspects of accounting management including Accounts Payable, Accounts Receivable, billing, etc.
Assist in the formulation of internal controls and policies to comply with company policies and established best practices.
Assist in the preparation of financial statements in compliance with official guidelines and requirements.
Manage journal entries, invoices, etc. Prepare and reconcile accounts for monthly or annual closing.
Assist with payroll tracking and submittal.
Process permit applications.
Filing documents as related to company projects.
Request insurance certificates for projects and maintain up to date liability insurance certificates for sub-contractors.
Maintain contract records.
Review job schedules, and job progress.
Compile data required for reports.
Understanding of federal and state employment regulations.
Monitor and maintain files for new hire paperwork, drug testing, job applications, etc.
Human Resource duties including assisting employees with benefits enrollment and compliance.
Assist with new employee orientation and onboarding.
Scheduling and managing appointments.
Updating information in company database.
Manage and monitor office supplies, and place orders when necessary.
Other duties and responsibilities may be assigned by supervisors.
QUALIFICATIONS and SKILLS:
High School Diploma or GED preferred.
Those with an education and/or work-related credential from a secondary or post-secondary educational system will be given preferred interview status (Precision Exams, NOCTE, etc.).
2-3 years of experience in a construction office environment.
Excellent knowledge of accounting and financial processes including budgeting, financial closure, reporting, etc.
Proficient with Microsoft Word, Excel, PowerPoint, and Outlook.
Proficient with QuickBooks.
Ability to type 40 words per minute.
Strong attention to detail including good analytical and organizational skills.
Excellent written and verbal communication skills.
Ability to multi-task and work in a fast-paced environment.
Find potential issues ahead of time and be able to problem solve.
Effectively work under pressure and prioritize duties.
Ability to work effectively in a team environment.
Display a willingness to adapt, learn and grow, according to the needs of the company.
Valid driver’s license and reliable transportation to get to and from work.
